Housekeeping and work orders

Turn sites over between guests, check the cleaning, give each cleaner a list, and close a site while something is fixed.

Choose which sites get cleaned

Open Housekeeping Settings from the Housekeeping page. Under Sites cleaned between guests, tick the kinds of site your team cleans after each stay. Cabins are ticked to start with, and caravan and camping sites are not. Sites you leave unticked count as ready and get no cleaning tasks.

Housekeeping is on every plan. Sites under a lease don’t get turnovers while the lease runs. When you end a lease, its site turns dirty and gets a turnover on that day’s board.

Cleaning statuses

Each cleaned site is Dirty, Being cleaned, Clean or Inspected. Checking a guest out marks the site dirty and adds a turnover to that day’s board. Starting the turnover moves it to being cleaned, and finishing it moves it to clean.

A site that is clean or inspected is ready for the next guest. A dirty site can still be booked for tonight. When you check a guest in at a site that isn’t ready, the booking page warns you first and offers Check In Anyway.

Cancelling a stay, moving it to another site or changing its dates moves or drops a turnover nobody has started yet. A turnover that is under way stays on its day.

The housekeeping board

Housekeeping, under Maintenance, shows one day in your park’s time zone, with links to the day before and after. Each row is a site with the guest leaving, the guest arriving and their times. Same-day turns, where a guest leaves and another arrives that day, come first. A guest who is due out but hasn’t been checked out yet still counts as a site to turn.

The List tab has a row per site. The Board tab groups sites into columns by status. Start, Done and Mark Dirty are buttons, so the board works on a phone and with a keyboard. Admins can also add a deep clean or another one-off task to any cleaned site and day.

Checklists and inspection

Each task shows the park’s checklist for that kind of task and site. New parks start with a cabin turnover list and a site check. Admins add, change and reorder checklists in Housekeeping Settings, one item per line. Editing a checklist doesn’t change tasks that already have one.

Open a task to tick items as you go. Each tick saves straight away, and Done unlocks once every item is ticked. Admins and owners can finish a task with items left, and that is noted in the park’s audit trail.

Turn on Inspect sites before the next guest when an admin should check each clean. A finished turnover then leaves the site clean, and it is ready only once an admin marks it inspected. Failing an inspection needs a note: the site goes back to dirty, the task reopens with its ticks kept, and the cleaner sees why.

Set Clean every … nights to service sites during longer stays. Stayover cleans don’t change a site’s cleaning status.

Give each cleaner their list

Admins and owners assign tasks to anyone on the park’s team, one at a time from the task page or several at once by ticking rows on the board. The board can show one person’s tasks, or the ones nobody has yet.

My tasks shows each person their work for today, with anything overdue. Staff with the member role who have work due land there when they open Housekeeping. Turn on the morning email in Housekeeping Settings and everyone with tasks gets their list at 7 am park time. It lists sites and kinds of task, not guest names.

Work orders

Anyone on the team can report a problem from Work Orders, a site page or a cleaning task, with up to 10 photos. Set the priority to Urgent for anything that can’t wait. Open work orders show on the site page and its board row, and the dashboard tells you when an urgent one is open.

Admins and owners assign work orders, and can tick Close the site until it’s fixed. The site then can’t be booked on your portal and is sent as closed to your channel manager. The work order lists stays that fall in the closure, so you can move them. Marking the work order done or cancelling it reopens the site, unless another work order still needs it closed or you had closed the site yourself first.

  1. 1

Open Work Orders and choose Report a Problem.

  2. 2

Pick the site, or leave it as a common area such as the amenities block.

  3. 3

Describe the problem, set the priority and add photos.

  4. 4

Save. An admin can then assign it and close the site if it can’t be used.
